The Coherence Lab Pty Ltd · Effective: [DATE]
This Privacy Policy explains how The Coherence Lab Pty Ltd (ACN [TO BE INSERTED]) (ABN [TO BE INSERTED]) ("The Coherence Lab", "we", "us", "our") collects, uses, stores, and protects personal information in connection with our services, including individual client engagements and corporate engagements delivered through partner organisations.
This Policy is aligned with the Australian Privacy Principles (APPs) under the Privacy Act 1988 (Cth).
By engaging with our website, services, or programs, you agree to the collection and use of information in accordance with this Policy.
We collect the following categories of personal information, depending on the nature of your engagement with us:
Identification and contact information: first and last name, email address, phone number, and mailing or business address where required.
Payment information: processed securely through third-party payment providers (Stripe and our banking partner). We do not store full payment card details.
Program and engagement data: where you engage with our programs (including the Sovereign Self System, The Before, the Coherence Map, and Cohort Integration Support), we collect:
Website usage data: standard website analytics (Google Analytics) collect anonymised usage data including pages visited, time on site, and referral sources. This data is not linked to identifiable individuals.
Personal information is used solely for the following purposes:
We will not use your data for any purpose beyond what is described here without notifying you and obtaining your consent where required.
All information shared during 1:1 sessions, intake conversations, or written communication with practitioners is treated as strictly confidential. Session content is not disclosed to third parties — including corporate engagement partners such as Hoffmann Reed Transformation Advisory — without your explicit written consent. Where a corporate engagement partner has visibility of engagement data, that access is strictly limited to the dashboard permission framework described below.
Any testimonials, case studies, or anonymised insights shared publicly are done only with your explicit prior written consent, or in fully anonymised form where no individual is identifiable.
Where you engage with The Coherence Lab through a corporate engagement (such as a partnership with Hoffmann Reed or another organisation), a three-tier dashboard permission structure applies:
This permission structure is communicated to you at the start of any corporate engagement and forms part of the trust contract that makes the work effective.
We do not sell your personal data. We share personal information only in the following circumstances:
Personal information is stored using enterprise-grade hosting infrastructure (Netlify and our authenticated database provider), with encryption in transit (HTTPS) and at rest. Access is controlled through authenticated login systems with role-based permissions.
We take reasonable precautions to protect your personal information from loss, misuse, unauthorised access, modification, or disclosure. Prior to the deployment of any corporate engagement, the dashboard architecture undergoes independent security review by an Australian-accredited cybersecurity consultant.
No internet transmission or electronic storage can be guaranteed as fully secure. In the event of a data breach, we will notify affected individuals and the Office of the Australian Information Commissioner in accordance with the Notifiable Data Breaches scheme.
Personal information is retained only for as long as necessary to fulfil the purposes for which it was collected, or as required by law (typically seven years for financial records under Australian taxation law).
You may request deletion of your personal information at any time by emailing kemina@coherencelaboratory.com. We will action verified requests within 30 days, subject to any legal obligations requiring retention.
The Coherence Lab is based in Australia. Where data is processed by service providers located outside Australia (such as Stripe for payments), we ensure those providers have privacy protections substantially equivalent to the Australian Privacy Principles.
If you are located in the European Union or United Kingdom, your data may be transferred to and stored in Australia. We implement appropriate safeguards consistent with the GDPR and UK Data Protection Act 2018.
